Office Manager/Bookkeeper

REPORTS TO: Executive Director
STATUS: Non-exempt – Part Time
HOURS: 10 hours per week

Compensation: $18-25/hour + hiring bonus of $1,000 (payable over 12 months)

Job Summary:

We are looking for a dedicated and organized employee to join our team. In this role, you will play a critical part in ensuring the efficient operation of our office and maintaining accurate financial records using Quickbooks. Your responsibilities will span various facets of office management, bookkeeping, and financial administration, as outlined below:

DUTIES AND RESPONSIBILITIES

Financial:

  • Utilize Quickbooks for accurate and up-to-date financial record-keeping.
  • Accounts Receivable and Accounts Payable: Manage invoicing, payments, and vendor relations.
  • Process bi-monthly payroll and concert payroll, ensuring timely and accurate disbursements.
  • Handle federal and state payroll tax liabilities and make regular deposits.
  • Financial Reporting: Collaborate with the FSO Treasurer to prepare monthly reports, quarterly taxes, and annual budget.
  • Collect necessary tax information from contractors, vendors, and the Personnel Manager.
  • Assist in tracking donations from multiple sources, including Square, Stripe, Givebutter, Facebook, AZ Gives, cash, and checks. Create monthly transaction reports.
  • Coordinate large and small printing services and manage USPS non-profit bulk permit.
  • Assist in the preparation of grant applications and manage ASCAP and BMI memberships.
  • Ensure compliance with Department of Labor laws and assist with financial reviews or audits as needed.

Office Management:

  • Order and maintain office supplies to support day-to-day operations.
  • Check and process incoming mail promptly.
  • Maintain a clean and organized office environment.
  • Organize and manage office files efficiently.
  • Maintain personnel files, including contracts, tax forms, and I-9 Employment Eligibility files. Register new employees with E-Verify.
  • Assist with the maintenance and organization of the FSO Google Drive.

PREFERRED EDUCATION AND EXPERIENCE

  • Bachelor’s degree or equivalent combination of education and experience
  • Minimum 1 year of administrative experience, preferably in a performing arts organization
  • Proficient in Microsoft Office and Google Suite

  • Demonstrated ability to communicate effectively with excellent oral and written skills
  • Demonstrated customer service skills
  • Outstanding organizational and time management skills
  • Excellent computer skills including Excel, word processing, and database management

Events and Volunteer Coordinator

REPORTS TO: Executive Director
STATUS: Non-exempt – Part Time
HOURS: 5-10 hours per week

Compensation: $18-25/hour + hiring bonus of $1,000 (payable over 12 months)

Job Summary:

We are looking for a dedicated and organized employee to provide event coordination and volunteer managerial support to the Flagstaff Symphony Orchestra team. The Events and Volunteer Manager will serve as FSO’s front-of-house representative at concerts and events and will recruit, train, evaluate, maintain, and recognize a vital volunteer program to include individual and group volunteers to supplement staff resources.

RESPONSIBILITIES:

  • Attends all FSO concerts and events; serves as FSO front-of-house representative at concerts and events and resolves problems when necessary
  • Assists in the coordination of fundraisers and pre-concert public and private receptions
  • Uses and maintains donation and registration platforms
  • Obtains necessary permits (e.g., special event liquor licenses)
  • Obtains swag items and receives auction donations for fundraising events
  • Orders catering to sell at pre-concert receptions
  • Coordinates reception planning with Ardrey Auditorium staff
  • Transports parking A-frame signs and concert reception equipment between FSO office and concert/event venue
  • Performs other event-related duties as needed

Coordinates FSO volunteer program:

  • Manages recruitment, training and professionalism of volunteers
  • Tracks volunteers, and records skills, performance, availability and scheduling
  • Works with Digital Marketing Manager to recruit volunteers through web, social media, and outreach
  • Works with Executive Director to develop a system of volunteer benefits and recognition
  • Ensures all concerts and special events are appropriately staffed with volunteer assistance (ushers, beverage service, auction table monitors, etc.).
  • Coordinates volunteers for large and small mailing preparation and other office tasks

(Occasionally, as needed): Performs office maintenance tasks, including but not limited to ordering office supplies, office cleaning, and maintaining office files

PREFERRED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree or equivalent combination of education and experience
  • Knowledge of methods related to the conduct of volunteer programs for non-profit organizations
  • Minimum 1 year of administrative experience, preferably in a performing arts organization
  • Minimum 1 year of working with the public in formal and informal settings
  • Proficient in Microsoft Office and Google Suite

Must be able to work evenings/weekends in alignment with FSO’s concert season, especially on the following dates and times:

Friday, April 12, 2024, 5:00-8:00pm
